Announcement on Funding for the First Batch of 2026 Students of XJTU for Global Exchange Studies

To expand undergraduate international academic exchanges and support overseas study development, the University has established the Undergraduate Overseas Exchange Special Fund. Relevant arrangements for the selection of candidates eligible for overseas exchange funding are announced as follows:

I. Funding Scope

The fund supports full-time undergraduates participating in university-recruited long-term or short-term overseas study visits, independently arranged short-term overseas academic visits and high-level international conference participation. Host institutions shall generally be universities ranked within the top 200 in the QS World University Rankings of the corresponding year, or institutions ranking among the top 20% in disciplinary rankings in their home countries, or internationally renowned research institutes and enterprises. Applications for long-term exchange programs are strongly encouraged.


II. Funding Standards

1. Long-term Overseas Study:

A monthly subsidy of RMB 3,600 per person for overseas study ranging from 3 months (inclusive) to less than 1 year, with a maximum subsidized period of 6 months.

2. Short-term Overseas Projects:

A one-off round-trip international airfare subsidy (economy class, capped at RMB 10,000, reimbursed based on actual expenditures) for students participating in short-term practice, research training, summer schools and other programs of less than 3 months at overseas universities, internationally renowned research institutes and enterprises.

3. Participation in International Conferences:

Full-time undergraduates who travel abroad (or to Hong Kong, Macao, and Taiwan) to attend high-level international conferences due to paper presentation (refer to the catalogue of high-level international conferences issued by the Graduate School) may receive funding for conference registration fees, international travel expenses, and accommodation expenses during the conference, with reimbursement based on actual expenditures. Students shall provide supporting documents including official conference invitation letters and proof of paper publication.

4. Funding for Outstanding Students from Financially Challenged Families: Outstanding students from financially challenged families, or those participating in special exchange programs for such students, who meet the funding criteria may, in addition to the university’s living expense subsidy, apply for reimbursement of round-trip international airfare (economy class, capped at RMB 10,000, reimbursed according to actual expenses) upon verification by the Student Affairs Office.

The above exchange funding standards shall be implemented in accordance with any updates issued by the Academic Affairs Office of Xi’an Jiaotong University.


III. Application Eligibility

1. Full-time undergraduate students (excluding 3+2 and 2+2 cooperative program students temporarily).

2. Patriotic, dedicated to the University, with high ideological awareness, sound physical and mental health; no violations of rules and regulations or university disciplinary sanctions during study.

3. A weighted average score of no less than 75 for coursework during study, with a solid professional foundation and qualified foreign language proficiency. CET-4 is generally required; TOEFL, IELTS, GRE and other scores may also serve as references.

4. No previous funding obtained from this Undergraduate Overseas Exchange Special Fund.

5. Applicants who have received similar funding from the China Scholarship Council or other university departments are not eligible to apply.

6. Applications can only be submitted prior to overseas departure; students already abroad (or in Hong Kong, Macao, and Taiwan) are not eligible.

7. Students undertaking long-term overseas visits must complete study plan filing at their respective School prior to departure.

8. Students shall commence their overseas exchange activities within one year after obtaining funding eligibility.


IV. Application and Review Arrangements

1. Students shall download and complete the Application Form for the Undergraduate Overseas Exchange Special Fund of Xi’an Jiaotong University (Annex 1), and submit the hard copy to the Office of Cooperation and Devlopment of XJTU-POLIMI Joint School (1st Floor, Milan Building, Western China Science and Technology Innovation Harbour) by June 16.

2. Students shall download and complete the Summary List of Recommended Students for the 2026 XJTU-POLIMI Joint School Selection of Undergraduates for Overseas Exchange Funding (Annex 2), and send electronic copies of Annex 1, Annex 2, together with official Chinese academic transcripts, English proficiency certificates and other supporting materials to jsglobal@xjtu.edu.cn by June 16.

3. Students shall truthfully complete the application materials in accordance with their personal conditions and the requirements of the special fund. XJTU-POLIMI Joint School shall conduct the selection based on the available funding quotas allocated by the University, budget and eligibility criteria, and submit the proposed list of funded students to the Academic Affairs Office for review.

4. The Academic Affairs Office shall organize an expert panel to review the recommended student lists submitted by various schools, confirm the final list of eligible students and corresponding funding categories, and release the information for internal public notice. In case of falsified materials or fraudulent practices, the University shall impose sanctions in accordance with relevant regulations once verified.

5. Students who are invited to attend high-level international conferences abroad due to paper publication are not subject to quota restrictions; eligible students may submit applications to the School at any time.

6. The application deadline is 12:00 noon on June 16, 2026, and late submissions will not be accepted.


V. Overseas Management and Reimbursement Rules

1. Students granted funding shall complete overseas travel approval procedures via the Foreign Affairs Service Platform prior to departure, and select the appropriate funding source in the corresponding section of the approval form as required by the notice issued by the Academic Affairs Office.

2. All loan and reimbursement procedures must be handled in strict accordance with the workflows specified in the “Work Processes” section on the homepage of the Academic Affairs Office.

3. Upon returning to China, students shall undergo an academic assessment conducted by the School. Those who pass the assessment and receive verification from the Academic Affairs Office may proceed to the Finance Office for reimbursement with their overseas travel approval form and other supporting documents. Eligible financially disadvantaged students participating in study visits may apply for advance funding at the Finance Office before going abroad (or traveling to Hong Kong, Macao, or Taiwan).


VI. Supplementary Regulations

1. Funding qualification will be revoked if applicants fail to secure an exchange program outside of Chinese Mainland within one year after qualification confirmation.

2. Any individual who commits one of the following offenses shall, upon confirmation by the review panel, be disqualified from the funding, required to refund in full the financial aid already disbursed, and disciplined in accordance with relevant university regulations:

(1) Submission of falsified materials or involvement in fraudulent practices;

(2) Violation of the laws or regulations of the host country/region or the rules of the University;

(3) Receipt of similar funding from the China Scholarship Council or other departments within the University;

(4) Unauthorized delay of return without approval;

(5) Violation of the relevant provisions of the Guiding Opinions of Xi’an Jiaotong University on Further Strengthening the Administration of Foreign-Related Activities (Document No. XJTU Foreign Affairs〔2017〕48).
