Announcement on the Selection of Undergraduate Candidates for Overseas Exchange Funding (2023)

To further promote international exchange among undergraduates, the University has established the Undergraduate Overseas Exchange Special Fund to support students’ overseas study and academic visits. Relevant selection arrangements are announced as follows:


I. Scope of Funding

This fund is open to full-time undergraduates who participate in university-recruited long-term or short-term overseas exchange programs, or independently arrange short-term overseas academic visits and international conferences. Qualified host institutions generally include universities ranked within the top 200 of the QS World University Rankings, institutions ranking among the top 20% in disciplinary fields worldwide, or globally renowned research institutes and enterprises. Long-term overseas exchange applications are highly encouraged.


II. Funding Standards

1. Long-term Overseas Study: Students studying abroad for 3 to 12 months will receive a monthly subsidy of RMB 3,600 per person.

2. Short-term Overseas Study: Students participating in short-term internships, research training and summer schools within three months will receive a one-off round-trip economy-class airfare subsidy, capped at RMB 10,000 and reimbursed based on actual expenditure.

3. International Conference Participation: Undergraduates who present papers at high-level international conferences may apply for reimbursement of conference registration fees, international travel expenses and accommodation fees with valid supporting documents.

4. Financially Disadvantaged Outstanding Students: Eligible students verified by the Student Affairs Office may receive additional airfare subsidies on the basis of living allowances.

All funding standards shall be implemented in accordance with the latest regulations issued by the University Academic Affairs Office.


III. Application Eligibility

1. Full-time undergraduate students (excluding students in 2+2 or 3+2 cooperative programs).

2. Good ideological conduct, no disciplinary records during enrollment, and sound physical and mental health.

3. A weighted average score of no less than 75, solid professional foundation and qualified foreign language proficiency.

4. No prior funding obtained from the Undergraduate Overseas Exchange Special Fund.

5. No identical grants from other university departments or the China Scholarship Council.


IV. Application and Review Procedures

1. Applicants shall complete the Application Form for the Undergraduate Overseas Exchange Special Fund, and submit paper application forms, official academic transcripts and language proficiency certificates to the Teaching Affairs Office (1st Floor, Milan Building) before April 10, 2023.

2. Applicants shall complete the electronic version of the Summary List of Recommended Students for the 2023 XJTU-POLIMI Joint School of Design and Innovation Selection of Undergraduates for Overseas Exchange Funding (Annex 2) and send it to ningzhou@mail.xjtu.edu.cn.

3. The School will conduct preliminary review and public notice before submitting the recommended list to the Academic Affairs Office.


V. Overseas Approval and Reimbursement Management

1. Fund recipients must complete overseas visit approval procedures via the university foreign affairs platform before departure.

2. All fund loan and reimbursement procedures shall follow the official workflow released by the Academic Affairs Office.

3. Students shall participate in the post-return academic assessment organized by the School. Qualified students may complete reimbursement procedures at the University Finance Office.


VI. Supplementary Provisions

1. Funding qualification will be revoked if applicants fail to participate in overseas exchange activities within one year after qualification confirmation.

2. Students  who commits one of the following offenses shall, upon confirmation by the review panel, be disqualified from the funding, required to refund in full the financial aid already disbursed, and disciplined in accordance with relevant university regulations:

(1) Violation of the laws or regulations of the host country/region;

(2) Receipt of similar funding from the China Scholarship Council or other departments within the University;

(3) Unauthorized extension of the overseas stay without approval;

(4) Violation of the relevant provisions of the Guiding Opinions of Xi’an Jiaotong University on Further Strengthening the Administration of Foreign-Related Activities (Document No. XJTU Foreign Affairs201748).
