To expand undergraduate international academic exchanges and support overseas study development, the School launches the 2024 selection work for the Undergraduate Overseas Exchange Special Fund. Relevant arrangements are announced as follows:
I. Funding Scope
The fund supports full-time undergraduates participating in university-organized long-term or short-term overseas exchange programs, independently arranged overseas academic visits and high-level international conference participation. Host institutions must meet the university’s international partner qualification standards.
II. Funding Standards
1. Long-term Overseas Study: A monthly subsidy of RMB 3,600 per person for overseas study ranging from 3 months to 1 year.
2. Short-term Overseas Projects: A one-off round-trip international airfare subsidy with a maximum limit of RMB 10,000.
3. Participation in International Conferences: Full-time undergraduates who travel abroad (or to Hong Kong, Macao, and Taiwan) to attend high-level international conferences due to paper presentation (refer to the catalogue of high-level international conferences issued by the Graduate School) may receive funding for conference registration fees, international travel expenses, and accommodation expenses during the conference, with reimbursement based on actual expenditures. Students shall provide supporting documents including official conference invitation letters and proof of paper publication..
4. Funding for Outstanding Students from Financially Challenged Families: Outstanding students from financially challenged families, or those participating in special exchange programs for such students, who meet the funding criteria may, in addition to the university’s living expense subsidy, apply for reimbursement of round-trip international airfare (economy class, capped at RMB 10,000, reimbursed according to actual expenses) upon verification by the Teaching Affairs Office of XJTU.
The above exchange funding standards shall be implemented in accordance with any updates issued by the Academic Affairs Office of Xi’an Jiaotong University.
III. Application Eligibility
1. Full-time undergraduate students (excluding cooperative program students temporarily).
2. Good moral conduct, no disciplinary sanctions during school years, healthy physical and mental status.
3. Excellent academic performance with a weighted average score of no less than 75 and qualified English proficiency.
4. No previous funding record of the same university special fund.
5. No duplicate financial support from other university departments or national scholarship programs.
IV. Application and Review Arrangements
1. Students shall download and complete the Application Form for the Undergraduate Overseas Exchange Special Fund (Annex 1), and submit the hard copy together with their official Chinese academic transcript, English proficiency certificate and other supporting materials to the Office of Teaching Affairs (1st Floor, Milan Building, Western China Science and Technology Innovation Harbour) by November 16.
2. Students shall download and complete the Summary List of Recommended Students for the 2025 XJTU-POLIMI Joint School of Design and Innovation Selection of Undergraduates for Overseas Exchange Funding (Annex 2), and send the electronic version to ruixue_wong@xjtu.edu.cn by November 16.
3. Students shall truthfully complete the application materials in accordance with their personal conditions and the requirements of the special fund. The School shall conduct the selection based on the available funding quotas, budget and eligibility criteria, and submit the proposed list of funded students to the Office of Teaching Affairs for review.
4. The Office of Teaching Affairs shall organize an expert panel to review the recommended student lists submitted by various schools, confirm the final list of eligible students and corresponding funding categories, and release the information for internal public notice. In case of falsified materials or fraudulent practices, the University shall impose sanctions in accordance with relevant regulations once verified.
5. Students who are invited to attend high-level international conferences abroad due to paper publication are not subject to quota restrictions; eligible students may submit applications to the School at any time.
6. The application deadline is 12:00 noon on November 16, and late submissions will not be accepted.
V. Overseas Management and Reimbursement Rules
1. Students granted funding shall complete overseas travel approval procedures via the Foreign Affairs Service Platform prior to departure, and select the appropriate funding source in the corresponding section of the approval form as required.
2. All loan and reimbursement procedures must be handled in strict accordance with the workflows specified in the “Work Processes” section on the homepage of the Office of Teaching Affairs .
3. Upon returning to China, students shall undergo an academic assessment conducted by the School. Those who pass the assessment and receive verification from the Office of Teaching Affairs may proceed to the Finance Office for reimbursement with their overseas travel approval form and other supporting documents. Eligible financially disadvantaged students participating in study visits may apply for advance funding at the Finance Office before going abroad (or traveling to Hong Kong, Macao, or Taiwan).
VI. Supplementary Regulations
1. Funding qualification will be revoked if applicants fail to participate in overseas exchange activities within one year after qualification confirmation.
2. Students who commits one of the following offenses shall, upon confirmation by the review panel, be disqualified from the funding, required to refund in full the financial aid already disbursed, and disciplined in accordance with relevant university regulations:
(1) Violation of the laws or regulations of the host country/region;
(2) Receipt of similar funding from the China Scholarship Council or other departments within the University;
(3) Unauthorized extension of the overseas stay without approval;
(4) Violation of the relevant provisions of the Guiding Opinions of Xi’an Jiaotong University on Further Strengthening the Administration of Foreign-Related Activities (Document No. XJTU Foreign Affairs〔2017〕48).
